Ready for Grant Closeout? ⏳ Deadlines & Tips Inside!

September is crunch time in the world of federal grants, especially as we race toward the federal fiscal year-end on September 30. If your grant period wraps up with the fiscal year, it’s time to dive into the closeout process and ensure you finish things off on a high note.


Key Closeout Deadlines ⌛

For those closing out grants this September, remember: all required financial, performance, and other reports need to be in no later than 120 calendar days after your period of performance ends. That means making sure all financial obligations tied to the award are fully settled.

And if you’re working with subrecipients, their deadline is still 90 days—so coordination is key.

Tips for a Smooth Closeout

  1. Start Early: Get a jump on your reports now. This gives you plenty of time to gather all the necessary data and documentation without the last-minute panic.
  2. Review Compliance Requirements: Make sure every box is checked—ensure all activities are complete, and all performance measures are met. Double-check that everything you outlined in your grant application has been fulfilled.
  3. Communicate with Subrecipients: Don’t leave it to the last minute. Make sure subrecipients are on track to submit their reports in time to meet your deadlines.
  4. Document Everything: Good documentation is your best friend. Make sure your financial and performance reports are thorough, accurate, and complete.
  5. Plan for Unexpected Issues: If there’s a chance that you won’t meet your goals due to unforeseen circumstances (like natural disasters or personnel changes), communicate this with your program officer or grants management specialist as soon as possible. Working together early on can help find solutions and avoid complications later.
  6. Finalize Financial Obligations: Double-check that all expenses are accounted for and all financial obligations are wrapped up before the 120-day deadline.
